Case actions

A user can perform case actions in the “Case” section. “Actions…” dropdown menu contains all available actions. These actions depend on a folder the case is filed in. The following table contains the description of all actions available in the system.

 

Folder Action Action description
Set Approval process Send to Approver Approval dialog is shown where a user can select a reason and add comments.OK button initiates the approval process. A case is put into “My Approvals” folder of the first Approver or into “My Approvals” folder of the Approver who performed rejection.

Cancel button closes the dialog and returns a user back to case viewing and editing frame.

Set Approval process Escalate Escalate dialog is shown where a user can select a reason and add comments.OK button initiates the approval process. A case is put into “Escalation” folder of the Supervisor.

Cancel button closes the dialog and returns a user back to case viewing and editing frame.

Set Approval process Restart  approval Approval dialog is shown where a user can select a reason and add comments.OK button initiates the approval process. A case is put into “My Approvals” folder of the first Approver.

Cancel button closes the dialog and returns a user back to case viewing and editing frame.

Set Approval process Terminate Terminate dialog is shown where a user can select a reason and add comments.OK button initiates the termination process. case is moved to Archive and can be found in ‘Search cases’-folder.

Cancel button closes the dialog and returns a user back to case viewing and editing frame.

Set Approval process Link PO PO- dialog is shown where a user can select a PO and add it to Invoice.Select- button initiates the linking process. Fields from PO are transferred into Invoice..
My Approvals Approve Approval dialog is shown where a user can select a reason and add comments.OK button terminates an approval step and closes the dialog. The case is then moved to “My Approvals” folder of the next Approver. If current user is the last Approver, the case is moved to Archive and can be found in ‘Search cases’-folder.

Cancel button closes the dialog and returns a user back to case viewing and editing frame.

My Approvals Reject Rejection dialog is shown where a user can select a reason and add comments.OK button rejects a case and closes the dialog. A case is sent back to Clerk for revision and is put into “Set Approval process” folder.

Escalation Resolve Resolve-Ddalog is shown where a user can select a reason and add comments.OK button put case into “Set Approval process” folder of the Clerk.

Cancel button closes the dialog and returns a user back to case viewing and editing frame.

Escalation Terminate Termination dialog is shown where a user can select a reason and add comments.OK button terminates the case and closes the dialog. The case stops being active, it is archived and put in a repository. It can be later search for in “Search cases” folder.

Cancel button closes the dialog and returns a user back to case viewing and editing frame.

 

Upon action execution cases are moved between folders, their history is updated, their value fields and field status (editable/read-only) may change.

Active case state monitoring

A case is moved between folders while being approved. Case creator always knows who is currently approving the case. It is done to reduce time loss while searching for a case.

Clerk’s “All Approvals” folder contains a direct link to the case while it is being approved.

Supervisor can see all active cases from all Clerks in his folder ‘Active cases’.

Reports

Executor can view case related reports. “Reports” link is situated in the upper part of client area.
